This Privacy Policy explains how Vereo, operated by Automate AI Limited, collects, uses, stores and discloses personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. By using Vereo or our website, you agree to the practices described below.

1. Information we collect

We collect personal information that you provide to us and information generated when you use Vereo. This includes:

  • Contact details such as your name, business name, email address and phone number.
  • Account and billing details needed to provide the service.
  • Call data processed by your Vereo voice agent, including call audio, transcripts, summaries and the outcomes of calls handled on your behalf.
  • Usage data such as IP address, approximate location, browser and device information, and pages visited, collected through cookies and analytics.

Where your Vereo agent handles calls from your customers, those callers may provide personal information during the call. You are responsible for ensuring you have a lawful basis to collect that information, and Vereo provides consent management tools to help you meet your obligations.

2. How we use your information

We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). We use it to:

  • Provide, operate, maintain and improve the Vereo service.
  • Answer calls, qualify leads and book appointments on your behalf.
  • Communicate with you about your account, support requests and service notices.
  • Send marketing communications where you have consented (you can opt out at any time).
  • Detect, prevent and respond to fraud, security incidents and misuse.
  • Comply with our legal obligations.

3. Call recording and consent

Vereo can record and transcribe calls. Recording laws differ between Australian states and territories. You are responsible for configuring an appropriate consent notice for your jurisdiction, and Vereo provides built-in consent management to play a disclosure and capture consent at the start of a call.

Call recordings, transcripts and summaries are treated as confidential and are used only to deliver the service to you, unless we are required by law to disclose them.

4. Cookies and tracking

Our website uses cookies and similar technologies, including:

  • Essential cookies required for navigation and security.
  • Analytics cookies to understand how the site is used and to improve it.
  • Booking and scheduling cookies where you interact with our booking widget.
  • Marketing cookies to measure the effectiveness of our advertising.

You can manage or disable cookies through your browser settings. Disabling some cookies may affect how the website functions.

5. Third-party service providers

We use trusted third parties to operate Vereo. These providers process data only on our instructions and under contractual confidentiality and security obligations. They include providers for cloud hosting, payment processing, scheduling, analytics and AI model processing.

Payments are processed by our payment provider and we do not store your full card details on our systems.

6. Data storage and security

Vereo data is hosted on Amazon Web Services (AWS) in the Sydney, Australia region. We apply security measures appropriate to the sensitivity of the data, including:

  • Encryption of data at rest (AES-256) and in transit (TLS/SSL).
  • Access controls and multi-factor authentication for our systems.
  • Ongoing monitoring and secure development practices.

No method of transmission or storage is completely secure, but we take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

7. Notifiable data breaches

If a data breach occurs that is likely to result in serious harm to any individual whose personal information is involved, we will assess the breach and, where required, notify the Office of the Australian Information Commissioner (OAIC) and affected individuals in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

8. Your privacy rights

Under the Australian Privacy Principles you may:

  • Request access to the personal information we hold about you.
  • Ask us to correct information that is inaccurate, out of date or incomplete.
  • Ask us to delete information where we no longer need it and are not required to keep it.
  • Withdraw consent to marketing at any time.

To make a request, contact us using the details below. If you are not satisfied with how we handle your request, you may complain to the OAIC at oaic.gov.au.

9. Data retention

We retain personal information for as long as your account is active and as needed to provide the service. After termination we retain data for a limited period to allow for export and reconciliation, after which it is deleted unless we are required by law to keep it. Marketing contacts are retained until you unsubscribe or request deletion.

10. International data transfers

While Vereo data is primarily hosted in Australia, some processing, including AI model processing and payment processing, may involve overseas providers. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

11. Changes to this policy

We may update this policy from time to time. We will post material changes on this page and, where appropriate, notify you by email. Continued use of Vereo after a change takes effect means you accept the updated policy.
